Digital Document Management Preparedness Plan

April 1, 2013/in Blog /by Aaron

Digital document management systems should always be a part of a comprehensive disaster preparedness plan.  Once converted to digital format, vital records can be easily and inexpensively duplicated, backed up, stored at a separate location or in “the cloud.”  Knowing that your company records are safe and secure from physical harm is an important, and sometimes overlooked, benefit that Microtek provides.  It’s always better to be safe than sorry!

Recently, a mid-sized manufacturing company, which we’d been in discussion with for several months regarding a proposed document scanning conversion project, experienced a broken water pipe.  The water damage completely flooded the room next to where the majority of their company’s important records.  Years of product development documents, engineering drawings, specifications and other documents could’ve been completely destroyed from the incident.  Luckily enough, the water damage just barely missed them.  Not long after, in fact the Monday following their near disaster, they became one of our loyal clients!

We don’t like to play the fear card, but it is an unavoidable fact that these disasters can occur at any time.  Catastrophic natural occurrences or isolated man-made disasters seem to be happening with greater frequency.  In either case, paper based records systems are vulnerable if there is no plan in place to protect them.  According to the SBA, over 40% of small businesses are forced to cease operations due to a major disaster and never reopen.

We offer free and no obligation estimates to help protect organizations from these unplanned incidents.  Please contact us today to protect your organizations’ vital documents!
