Are Your Important Documents Stored Electronically?

September 30, 2016/in Blog /by Aaron

For the majority of offices these days, many standard business documents are generated, stored, retrieved, and utilized in an electronic fashion.  However, there are numerous businesses, organizations, and industries whose documentation or end product must be generated as standard traditional paper documents.  These types of documents, in addition to pre-computer generated ones, are prime candidates for electronic storage.

Think about it, if a company has been around for a long time and/or they deal with any non-traditional files and documents, there is a very high likelihood they would benefit from converting their key documents to digital images. Here are examples of what should be converted and stored electronically:

  1. Research and Development Documentation: R&D notes, insights, and findings are often captured in handwritten research notebooks.  Converting these to digital images ensures your company’s intellectual property is safeguarded and accessible to be used for future research.
  2. Employee, Association, or Student Records: Many schools, businesses, and organizations fall into this category.  Ease of access and timely retrieval of decades of records and statistics can easily be achieved, saving manpower, time, and space.
  3. Legal Documents: Putting an Electronic Document and Records Information Management System (EDRMS) in place will ensure access to archive contracts, documents, and records before they are lost to natural deterioration or an unforeseen disaster.
  4. Others: Health, financial, product development files, and any other historically relevant document that is key to your organization’s survival is a candidate for digital imaging and electronic storage.

Basically, if a document or record is vital to the successful operation of your organization, ensure lasting longevity and access to it by converting it to a digital image!
